The contractor runs several factory and office-building projects at once, with site managers working on location while accounting and procurement staff are based in the office. Site diaries were handwritten, material requests went out by text message and expense documents passed through several levels of paper sign-off, so the board often only got a true picture of the situation in weekly briefing meetings.

Before writing the first line of code, GREEN TECH spent six weeks consulting with the client to standardize how materials and costs are requested and approved. On that foundation, BuildPro was developed to bring schedules, site diaries, materials and approvals into one system, helping leadership make decisions based on figures updated every day.

Each site manager kept records in their own way; digitizing things as they were would simply move the mess from paper into software.

Tough on-site conditions

Engineers use their phones in the middle of a construction site, with weak signal and their hands full, so every form has to be short and work even offline.

Approval limits vary by amount and cost type, calling for an approval flow that is flexible yet tightly controlled.

GREEN TECH's solution

The consulting phase produced a unified set of processes and forms, built with input from site managers, accountants and the board. On that basis, we developed a .NET backend with PostgreSQL and a Next.js interface that works well on both office computers and phones out on site, with offline drafts that sync automatically once a connection is back. Approval flows are configured by spending limit instead of being hard-coded into the source code. An automated release pipeline on GitLab and Docker lets the software be updated outside working hours without disrupting users.

Projects running on the system

After rolling out to every active project, the board tracks progress and cash flow daily instead of waiting for the weekly briefing. Expense documents pass through the right approval levels in half the time, and materials data helps catch wastage within the same month. The process playbook created during the consulting phase is still used by the company as training material for new site managers.
